How to create your email signature
- Fill in your details — name, title, company, phone, email and website. Leave any field empty to hide it.
- Add a photo or logo by pasting a link to an image that is already online (your website, LinkedIn or company CDN).
- Choose a template and your brand color. The preview updates as you type.
- Press Copy signature and paste it into your email app’s signature settings.
How to add the signature to your email app
Gmail
Click the gear icon → See all settings → General → Signature → Create new. Paste with Ctrl+V (Cmd+V on Mac), scroll down and click Save changes.
Outlook (new Outlook and Outlook on the web)
Go to Settings → Accounts → Signatures, create a new signature, paste it into the editor and save. Choose it as the default for new messages and replies.
Apple Mail
Mail → Settings → Signatures, click +, then paste. Untick “Always match my default message font” so your formatting is kept.
Why images need a link
Email apps don’t store images inside signatures reliably — many strip embedded images or show them as attachments. That’s why photos and logos must be hosted online and referenced by URL. Use a small image (around 200 px wide, under 100 KB) so emails load quickly.
Email signature best practices
- Keep it to 4–6 lines. Name, title, company and one or two ways to reach you are enough.
- Use one brand color and standard fonts (Arial, Helvetica) that look the same everywhere.
- Don’t make the whole signature a single image — it may be blocked and isn’t clickable.
- Add links to the one or two social profiles that matter for your work.
- Check that it looks good on a phone, where most emails are read.
